An initial review is arranged before setting up for the event begins. The review covers all facilities leased by the event organiser, and their condition at the time of delivery is checked. If necessary, the facilities are also photographed. An initial review is conducted of both indoor and outdoor facilities. The event plan must be approved by the Sports Services contact person.
The plan should contain the measures required for setting up, the actual event, and dismantling of structures after the event. The plan must clearly identify the structures and services used at the event, the order of their construction and demolition, and the equipment used for construction and demolition. The plan describes the schedule, organisation and employees of the event, the public's arrival and exit routes to and from the event, and any parking arrangements. The event plan must include a safety plan. A lease is drawn up, which describes the booking period, the leased facilities and the ordered services. The completed and approved plans and a certificate of the insurance which the lessor must take out to cover any damage to the Stadium are attached to the lease.
